Our client is one of the largest nonprofit organizations in the scientific community, recognized globally for advancing the hard sciences and publishing leading scientific journals. The Office Administrator will support the daily operations of our office and assist with assigned projects. This is a full-time, contract-based position based in Washington, DC, paying $31.00-$38.00 per hour.

Responsibilities

  • Assist with day-to-day office operations, including facilities coordination, procurement support, and vendor communication to ensure smooth and efficient office functions.
  • Support special projects through coordination, tracking, and follow-up to ensure timely completion.
  • Provide administrative support such as scheduling, correspondence, document preparation, and meeting coordination, and serve as a point of contact for general office inquiries.
  • Identify opportunities to improve office processes and workflows and assist with implementing changes.
  • Ensure office policies and procedures are followed, with support in documentation and updates.
  • Assist with planning and coordinating meetings, events, and conferences, including logistics and materials.
  • Coordinate with IT and vendors to support office equipment and systems, troubleshoot routine issues, and track service requests.

Qualifications

  • Minimum of 5 years of experience in office administration or a related role.
  • Strong organizational and time-management skills with the ability to handle multiple tasks.
  • Proficiency in Microsoft Office Suite; familiarity with Visio, Smartsheet, Basware, or ChromeRiver is a plus.
  • Good problem-solving skills and the ability to work independently with guidance.
  • Effective written and verbal communication skills.
  • Professional discretion in handling sensitive and confidential information.
